Managing multiple social media accounts works when you run them as one system, not nine jobs: one calendar, one weekly writing session, one composer that publishes a tailored version to each network, and fixed windows for replies. How do you manage multiple social media accounts without burning out?

Replace constant switching with fixed blocks. Burnout rarely comes from posting. It comes from opening a different app per account, writing every caption from scratch and answering each notification as it lands. A system does the same work in planned sittings, in six parts:

  1. A capacity limit for one person.
  2. One calendar for every account.
  3. One writing session, with one version per network.
  4. One place to schedule, native where it’s free.
  5. Fixed reply windows instead of notifications.
  6. A weekly review that feeds the next plan.

How many social media accounts can one person realistically manage?

It depends on cadence far more than on the account count. In our own planning model, nine accounts take about 8.5 hours a week at a light cadence and about 24 at a heavier one. So one person with 35 working hours tops out near 13 accounts at the heavier pace, while a 20-hour half-time role carries about 22 at the light one.

This is our planning model, not survey data; change the inputs to fit:

  • Light cadence: 3 posts per account a week, 10 minutes to adapt and schedule each, 20 minutes of replies per account a week, plus 1 hour of planning and review.
  • Heavier cadence: 5 posts per account a week, 20 minutes each, 45 minutes of replies per account, plus 2 hours of planning and review.
  • Formula: hours a week = accounts × (posts × minutes per post + reply minutes) ÷ 60 + planning hours.

“Minutes per post” covers writing or adapting the caption, checking the crop and scheduling; shooting video or designing is extra. It moves the total most: at the heavier cadence, cutting it from 20 to 10 minutes frees 7.5 hours a week across nine accounts.

How do you post to all your social media accounts at once?

Write the post once in a tool that publishes to several networks, give each network its own version, then schedule them together. Natively, Meta Business Suite does this free for a Facebook Page and an Instagram account, with customised text for each. Beyond Meta, each network’s scheduler only posts to itself, so posting to all social media at once takes a cross-platform scheduler.

How to keep one voice across every account

Write the voice down once and change only the register per network. A one-page voice sheet lets anyone on the team, or any AI drafting tool, sound the same on every account while LinkedIn still reads more formal than TikTok. The sheet needs four things:

  • Three traits, each with a “this, not that” example (“direct, not blunt”).
  • Words you always and never use, including how you spell product names.
  • A register dial per network, from formal to casual.
  • One approved sample post per network to copy the rhythm from.

Can you manage multiple social media accounts for free?

Yes, partly. Two native tools span more than one account: Meta Business Suite runs a Facebook Page and an Instagram account from one composer at no cost, and X Pro handles several X accounts if you pay for Premium+. Every other network’s scheduler covers only itself, and Bluesky has none as of September 2026, so free tools can’t give you one calendar across every account.

  • Facebook and Instagram: Meta Business Suite schedules Page posts and Instagram posts, Stories and Reels side by side, with a shared Planner calendar. Access runs through the business portfolio, which also suits client work (below).
  • Threads: Business Suite on desktop can cross-post a Facebook or Instagram post to Threads; Meta doesn’t say whether that cross-post can be scheduled. The Threads app has its own scheduler (see how to schedule Threads posts).
  • X: X Pro schedules for several connected X accounts but is Premium+ only. The x.com composer’s schedule option is widely reported, with no X help article behind it.
  • Bluesky: no native option, so scheduling needs a third-party tool (see how to schedule Bluesky posts).

Managing social media accounts for several clients

Give each client its own calendar, a sign-off step and access through the platform’s own roles, never a shared password. Then choose billing that matches how you grow.

  • Access through roles. In Meta Business Suite, a client’s Instagram account must be in a business portfolio, and you need full control of it or Content permission; a Facebook Page needs Facebook access or task access, not a second Facebook account. For Bluesky, use an app password, never the main one.
  • Keep clients apart. In X Pro team setups, every scheduled post for the connected accounts is visible to anyone with access, so give each client a separate setup.
  • One approval window per client. Send each week’s batch for sign-off before scheduling.
  • Billing that fits. Per-seat plans grow with your team; per-account plans with your client list. Outfeed Pro includes 3 members and 25 accounts for $59/mo, flat; Agency is $149 per seat/mo, with 250 accounts as one organization-wide cap that doesn’t grow with seats.

Running several accounts in Outfeed AI: one post, a version per network

In Outfeed AI you write one post in chat or the composer, pick the accounts and an exact time, and Outfeed publishes a separate native post to each network at that moment. It publishes to Instagram, Facebook, TikTok, YouTube, X, LinkedIn, Threads, Pinterest and Bluesky through their APIs, not their own schedulers, so posts won’t show in Meta Business Suite’s scheduled list.

  • Text per network. A main version, overridden where needed.
  • Checked up front. Connections, text limits (2,200 characters on Instagram, 280 weighted on X, 300 on Bluesky), media rules and YouTube’s made-for-kids answer are checked before the post is accepted.
  • Independent publishing. If one network fails, the rest still go out and the post is marked partial, naming the network to fix; retries are explained in our scheduling guide.
  • Counting. One post counts once against your monthly limit however many accounts it targets; X counts once per X account against its own cap.
  • You choose the times. No automatic queue or best-time slots; bulk scheduling is Pro and above, not Starter.

Per-network limits still apply, and two matter most when you plan capacity: TikTok posts currently publish as private, visible only to the connected account, not followers, while TikTok reviews the Outfeed app, and X is text only with its own per-plan cap.
